Event services terms
What governs our shows, walkabouts and birthday parties, from quote to final bow.
01Purpose
These terms and conditions govern the event services of La Casa du Cosplay (“the provider”) — shows, walkabouts, photo ops, entertainment, workshops and contests — carried out for a business, public body, non-profit or individual (“the client”).
02Quote and order
Each service is subject to a detailed quote, valid for 30 days. The order is firm upon receipt of the signed quote and the agreed deposit. For public bodies, a purchase order or written commitment stands in for a signature.
03Price and payment
- Deposit: 30% of the quoted amount when ordering.
- Balance: on receipt of the invoice, no later than 30 days after the event.
- Public bodies: payment by administrative mandate within the statutory time limits.
For business clients, late payment incurs penalties at the European Central Bank rate plus 10 percentage points, together with a fixed €40 recovery fee (article L.441-10 of the French Commercial Code).
04Cancellation or postponement by the client
- More than 60 days before the date: deposit refunded, less costs incurred.
- Between 60 and 30 days: deposit retained.
- Between 30 and 8 days: 50% of the total amount payable.
- Less than 8 days: 100% of the total amount payable.
One postponement to a new date within 12 months is accepted free of charge if requested more than 30 days before the event, subject to availability.
05Cancellation by the provider
If a performer is unable to attend, the provider undertakes to replace them with a performer of equivalent standard. If the service cannot take place, all sums paid are refunded in full, with no further compensation.
06Technical requirements and hosting the performers
Unless stated otherwise in the quote, the client provides:
- a private, clean dressing room, heated or ventilated as the season requires, close to the performance area;
- access to water and toilets;
- a clear, level and safe performance area of the size stated in the quote;
- sound equipment and power if included in the quote;
- parking nearby for unloading equipment;
- regular breaks for costumed characters (15 minutes every 45 minutes on walkabouts) and a meal if the booking exceeds 5 hours.
07Safety
As the organiser, the client is responsible for the safety of the audience and the venue, and for any permits the event requires. Performers may pause or stop their performance if their safety or the audience’s is at risk, without being held at fault.
08Image rights and recordings
The client authorises the provider to photograph and film the performance and to use these images for its own communication (website, social media, sales materials), unless the client objects in writing when ordering. The client is responsible for informing its audience of filming; no identifiable minor is published without consent from their legal guardians.
Full recording of a show or its commercial distribution by the client requires the provider’s prior written consent.
09Intellectual property
Shows, choreography, staging, scripts and costume designs remain the provider’s property and may not be reproduced or reused without its permission.
10Force majeure
Neither party will be liable for failing to perform its obligations in a case of force majeure within the meaning of article 1218 of the French Civil Code (including weather making the performance dangerous, administrative decisions or epidemics). The parties will seek a new date in good faith.
11Liability
The client remains liable for damage caused by its audience, equipment or facilities.
12Disputes
In the event of a disagreement, the parties will first seek an amicable solution.
These terms are governed by French law. Failing an amicable settlement, disputes will be brought before the competent courts in the jurisdiction of the provider’s registered office for business clients.
